Position Title:  Dispatch and Compliance Officer
Reports To:  Manager
Date:  March 2025
Hours:  37.5 hrs/week (7:00am – 3:00pm, Monday to Friday, with a 30-minute unpaid break)
Employment Type:  Permanent, with 6-month probation


Position Outline

The Dispatch and Compliance Officer is responsible for the efficient packing of frozen and chilled meals for both Bathurst clients and other Meals on Wheels services across NSW. The role also includes compliance duties, ensuring food safety and cleaning records are completed and checked via a digital system.

General Responsibilities
  • Comply with Bathurst Meals on Wheels policies and procedures.
  • Promote and contribute to a safe and inclusive work environment free from harassment, bullying and discrimination.
  • Follow organisational WHS procedures including emergency procedures, manual handling, food safety and infection control.
  • Participate in continuous improvement through feedback, staff meetings and planning days.

Specific Responsibilities
  • Pick and pack all dispatch orders accurately and efficiently within required timeframes.
  • Pack all local and external client orders, including chilled and frozen meals.
  • Work comfortably and safely in and around freezers.
  • Conduct weekly and quarterly stocktakes of all meals, soups, and desserts.
  • Use stocktake data and dispatch orders to compile a list of meals required for production.
  • Liaise with the Plating Supervisor and Chef to ensure meal quantities and production schedules align with dispatch needs.
  • Communicate effectively with truck drivers and third-party couriers.
  • Prepare and check delivery manifests.
  • Coordinate vehicle servicing, maintenance, repairs, and registration with the Admin Officer.
  • Ensure all cool room, freezer, and pre-operational temperature records are completed.
  • Conduct monthly freezer cleaning.
  • Undertake stock rotation and restock freezers as required.
  • Receive deliveries and complete the Incoming Goods register when applicable.
  • Complete and monitor cleaning compliance tasks via the compliance app.
  • Check and ensure daily and weekly food safety documentation is completed.
  • Report hazards and maintenance issues and implement hazard controls as necessary.
  • Adhere to SDS guidelines and use PPE as required.
  • Maintain a clean and organised work area.
  • Support the plating line during quieter periods as directed.
  • Other duties as directed by the Manager within the competency of the role.

Essential Requirements
  • Physically fit with the ability to lift, bend and work in cold environments.
  • High attention to detail and ability to follow structured processes.
  • Competent with using tablets and apps for compliance monitoring.
  • Strong organisational and time management skills.
  • Excellent verbal communication and interpersonal skills.
  • Able to work independently and cooperatively within a team environment.
  • Willingness to obtain a First Aid Certificate (training provided).
  • Willingness to obtain a Food Safety Supervisor Certificate (training provided).
  • National Police Check (required due to unsupervised interaction with volunteers).
